This Privacy Policy explains how Domainitecom Inc (“ContractorDesk,” “we,” “us,” or “our”) collects, uses, and shares information when you use ContractorDesk.ai and the AI receptionist and appointment-booking services we provide (the “Service”).
ContractorDesk provides an AI-powered receptionist that answers phone calls on behalf of contracting and home-service businesses (“Customers”), and may record and transcribe those calls, answer caller questions, and book appointments. This policy applies both to our Customers and to the people who call a Customer's business and interact with our AI (“Callers”).

1. Information we collect
Information you provide
When you create an account or request the Service, we collect the information you give us, such as your business name, contact name, email address, business phone number, trade or service category, and any details you provide about your services, pricing, hours, and availability so the AI can represent your business accurately.
Billing information
If you subscribe to a paid plan, payment is processed by our third-party payment processor. We do not store full payment card numbers on our systems; we receive limited billing details such as the last four digits, card brand, expiration date, and billing contact.
Call content and Caller information
When the AI answers a call on your behalf, we may collect and process the audio recording, a transcript, and any information a Caller provides during the call. This can include the Caller's name, phone number, service address, a description of their request or problem, and appointment details. This information is collected to deliver the Service to you and is made available to you as the Customer.
Integration data
If you connect a calendar or other third-party tool, we access the data needed to read availability and create or update appointments, in accordance with the permissions you grant.
Usage, device, and log data
We automatically collect technical information when you use our website and dashboard, such as IP address, browser and device type, pages viewed, and timestamps. We use cookies and similar technologies to operate the site, remember preferences, and understand usage. You can control cookies through your browser settings.
2. How we use information
We use the information we collect to:
- Provide, operate, and maintain the Service, including answering calls, transcribing them, and booking appointments;
- Set up and manage your account and process billing and subscriptions;
- Configure and improve the accuracy of the AI's responses for your business, and to maintain, test, and improve the Service generally;
- Provide customer support and respond to your requests;
- Send you service-related communications, and, where permitted, marketing messages (which you can opt out of);
- Detect, prevent, and address fraud, abuse, security incidents, and technical issues; and
- Comply with legal obligations and enforce our agreements.
3. Call recording, transcription & consent
The Service records and transcribes inbound calls to your business so the AI can understand and respond to Callers and create a record of each interaction. Recording and transcription are core functions of the Service.
Legal compliance for call recording is your responsibility. Laws governing the recording of phone calls vary by jurisdiction. Some states and countries require that only one party consent to a recording, while others require that all parties consent. As the Customer, you are responsible for ensuring that your use of the Service complies with all applicable call-recording, wiretapping, and consent laws, including providing any legally required notice or disclosure to Callers (for example, an announcement that the call may be recorded). We may provide configurable tools, such as a recording disclosure message, to help you, but you are responsible for enabling and using them appropriately.
4. How we share information
We do not sell your personal information. We share information only as described below:
- With you, the Customer. Call recordings, transcripts, and Caller details captured on your behalf are made available to you.
- Service providers and subprocessors. We share information with vendors who help us run the Service, such as telephony and voice-infrastructure providers, AI and language-model providers, calendar and scheduling integrations, our payment processor, cloud hosting, and analytics providers. These providers are permitted to use the information only to perform services for us. Our current subprocessors include Vapi and Twilio.
- Legal and safety. We may disclose information if required by law, subpoena, or legal process, or to protect the rights, property, or safety of ContractorDesk, our Customers, Callers, or others.
- Business transfers. If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction.
- Aggregated or de-identified data. We may share information that has been aggregated or de-identified so that it cannot reasonably be used to identify you.
- Text-messaging (SMS) opt-in data. We do not share or sell mobile phone numbers or SMS opt-in and consent data to any third parties or affiliates for marketing or promotional purposes. All of the sharing described above excludes text-messaging originator opt-in data and consent; that information is disclosed only to the aggregators and service providers needed to deliver the messages (such as our SMS provider), and to no other third parties.
5. Data retention
We retain information for as long as your account is active or as needed to provide the Service, and afterward as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. You may request deletion of certain information as described below, subject to legal and operational retention requirements. By default, we retain call recordings and transcripts for up to 30 days.
6. Security
We use reasonable administrative, technical, and physical safeguards designed to protect information against loss, misuse, and unauthorized access. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your choices & rights
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, or to object to or restrict certain processing. To exercise these rights, contact us at hello@contractordesk.ai. We will respond as required by applicable law.
You can opt out of marketing emails at any time using the unsubscribe link in those messages; we will still send you service-related communications. If you are a Caller and wish to make a request about information collected during a call, please contact the business you called, or contact us and we will work with that business as appropriate.
Text messages (SMS)
If you provide your mobile number and opt in, we may send you recurring SMS text messages about your account and the Service, such as setup confirmations and call or appointment notifications. Message frequency varies, and message and data rates may apply. You can opt out at any time by replying STOP to any message, after which you may receive a one-time confirmation; reply HELP for help, or contact us at hello@contractordesk.ai. Opting out of SMS will not affect the rest of the Service.
8. Children's privacy
The Service is intended for businesses and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us and we will take appropriate steps to delete it.
9. International users
We operate from the United States, and information we collect may be processed in the United States or other countries where we or our service providers operate. These countries may have data-protection laws different from those in your country.
10. Third-party links & services
Our website and Service may link to or integrate with third-party services that we do not control. Their use of your information is governed by their own privacy policies, and we encourage you to review them.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect means you accept the updated policy.
